Role Overview
The Quotation Executive is responsible for managing the RFQ-to-Quotation process, including
requirement understanding, supplier coordination, pricing calculation, and quotation preparation.
The role ensures accurate, competitive, and timely quotations aligned with customer
requirements and business profitability.

Key Responsibilities
1. RFQ Management
● Monitor email, calls, and WhatsApp for incoming RFQs
● Record complete RFQ details (customer, items, quantity, timeline) in tracker
● Share RFQs with Manager/Business Owner for validation
● Ensure approval before proceeding

2. Requirement Understanding
● Analyze RFQ and identify exact product requirements
● Check master SKU to classify pricelist vs non-pricelist items
● Coordinate with sales/tender team for clarity
● Confirm specifications, quantity, and delivery expectations

3. Supplier Sourcing & Coordination
● Identify suitable suppliers based on product requirement
● Share RFQ and specifications with suppliers
● Follow up for timely quotations
● Collect catalogues, MSDS, IQOQ, and technical documents

4. Quotation Preparation
● Prepare quotation using standard company format
● Enter complete item details: CAT no, description, specifications, UOM
● Include pricing details: list price, discount, final price
● Add supplier details, lead time, reference numbers
● Include freight, packing, installation, and additional charges
● Insert product images and reference links where required

5. Pricing & Costing
● Prepare pricing calculation sheet
● Apply forex rates, freight, bank charges, and additional costs
● Ensure correct margin and profitability
● Align pricing with business strategy

6. Quality Check & Validation
● Verify all quotation details line by line
● Ensure consistency in currency, VAT %, and pricing
● Validate payment terms, delivery timelines, and validity
● Ensure alignment between quotation and terms & conditions

7. Approval Process
● Share quotation with Sales Manager for approval
● Revise quotation as per feedback
● Obtain final approval before submission

8. Quotation Submission
● Send approved quotation to customer via email
● Mark CC to sales/tender team
● Maintain proper email trail for all communications
● Follow up for acknowledgement

9. Revision Handling
● Receive revision requests from customer/sales team
● Update quotation based on revised inputs
● Take approval before resubmission
● Share revised quotation in same email thread

10. Reporting & MIS
● Maintain RFQ and quotation tracker
● Update status: received, in progress, submitted, revised
● Share daily numeric report (RFQs received, quotations sent, pending)
● Highlight urgent and delayed RFQs

Required Skills
● Strong attention to detail and accuracy
● Good analytical and pricing understanding
● Strong coordination and follow-up skills
● Ability to manage multiple RFQs simultaneously
● Proficiency in MS Excel and documentation

Qualifications & Experience
● 3–5 years of experience in quotation preparation / sales coordination / backend
operations
● Experience in scientific equipment, healthcare, or industrial trading preferred
● Bachelor’s degree (Commerce / Science / Business)

Role Overview
The Tender Executive is responsible for managing the end-to-end tender lifecycle, including
identification, evaluation, documentation, submission, and follow-up. The role requires strong
coordination, attention to detail, and adherence to timelines to ensure high-quality and compliant
submissions.


Key Responsibilities
1. Tender Identification & Portal Management
● Check all registered tender portals daily using internal tracker
● Review invited and open tenders relevant to company scope
● Verify scope alignment with RFQ requirements
● Update tender tracker with complete RFQ details
● Identify and register on new tender portals and maintain database


2. Internal Approval & RFQ Coordination
● Share RFQ details with Manager for approval
● Follow up and obtain approval before proceeding
● Send RFQ to quotation team with clear timelines
● Coordinate internally for timely quotation submission


3. Tender Evaluation & Commercial Compliance
● Analyze tender terms, conditions, and commercial requirements
● Review Incoterms, payment terms, and credit conditions
● Verify requirements for bid bond, performance bond, bank guarantee, and tender fees
● Check COO (Country of Origin) and FSC (Free Sale Certificate) requirements
● Assess financial and compliance implications before submission


4. Documentation & Compliance Management
● Prepare and verify all required documents (LOA, FSC, catalogues, client list, licenses,
VAT, ICV, financial reports)
● Review BOQ, tender documents, evaluation criteria, and declarations
● Ensure anti-bribery and compliance declarations are completed
● Verify supplier certifications (ISO, CE, FDA, etc.)
● Identify and arrange any additional required documents


5. Coordination & Follow-ups
● Follow up with quotation team for pricing and updates
● Track portal notifications, clarifications, and amendments daily
● Communicate updates and changes to internal teams
● Escalate issues and seek approvals from Manager when required


6. Submission Preparation & Execution
● Compile technical and commercial bid documents
● Coordinate with suppliers and banks for required documents (BG, bonds)
● Cross-check all documents for completeness and accuracy
● Upload documents and submit tenders within deadlines
● Ensure all portal fields and formats are correctly filled


7. Post-Submission Tracking & Reporting
● Monitor tender status and results on portals
● Respond to queries and clarification requests
● Share results and updates with Business Owner and internal teams
● Maintain tender database including wins/losses and feedback
● Submit daily activity reports (tenders tracked, submitted, follow-ups)


8. Deadline & Timeline Management
● Track submission deadlines, clarification timelines, and execution schedules
● Ensure all activities are completed within defined timelines


Required Skills
● Strong written and verbal communication skills (English required; Arabic is a plus)
● High attention to detail and documentation accuracy
● Strong analytical skills to understand tender requirements
● Ability to manage multiple tenders and deadlines simultaneously
● Strong coordination and follow-up skills
● Proficiency in MS Excel, Word, and documentation tools
● Familiarity with tender portals and submission processes
